About Hours Calculator

The Hours Calculator is a versatile tool for calculating work hours, elapsed time between two time points, and summarizing multiple time entries for timesheet or payroll purposes.

What is an Hours Calculator?

An Hours Calculator is a tool designed to accurately compute the number of hours and minutes between two time points, helping you track work hours, billable time, or elapsed time for various purposes.

Unlike simple time difference calculators, our Hours Calculator accounts for factors such as breaks, supports multiple time entries, and provides results in both standard and decimal hour formats for payroll calculations.

Key Features

  • Calculate the exact hours and minutes between any two times
  • Automatically deduct break times from your work hours
  • Add multiple time entries for full day or weekly hour calculations
  • Support for both 12-hour (AM/PM) and 24-hour time formats
  • Export calculation results to CSV for use in spreadsheets or payroll systems

How Hours Are Calculated

Basic Hours Calculation

To calculate the time between two points, we first convert both times to minutes, find the difference, and then deduct any break time:

$$\text{Total Minutes} = (\text{EndTime} - \text{StartTime}) - \text{BreakTime}$$

$$\text{Total Hours} = \frac{\text{TotalMinutes}}{60}$$

Decimal Hours Calculation

For payroll purposes, time is often needed in decimal format rather than hours and minutes:

$$\text{Decimal Hours} = \text{Hours} + \frac{\text{Minutes}}{60}$$

Multiple Time Entries

When calculating multiple time entries, each entry is calculated individually, and then the results are summed:

$$\text{Total Time} = \sum_{i=1}^{n} (\text{Entry}_i \text{ Time})$$

Frequently Asked Questions

How does the calculator handle overnight shifts?

If the end time is earlier than the start time, the calculator assumes the shift spans across midnight and calculates accordingly.

Why do I need decimal hours and what is the difference?

Decimal hours (like 8.5 instead of 8:30) are commonly used in payroll systems and make it easier to calculate wages. Regular time format shows hours and minutes, while decimal format converts minutes to a fraction of an hour.

Can I use this for calculating overtime?

Yes, you can use the calculator to find your total hours worked. Standard overtime rules usually apply after 8 hours per day or 40 hours per week, but you'll need to manually determine which hours qualify as overtime based on your local regulations.

How accurate is the hours calculator?

Our calculator is accurate to the minute level. For payroll purposes, many employers round to the nearest 15 minutes or quarter hour, which you would need to do separately.

Can I save my time entries for later use?

While the calculator doesn't currently save entries between sessions, you can export your results to CSV format and save that file for your records or future reference.

Practical Examples

Regular Work Day

An employee works from 9:00 AM to 5:30 PM with a 1-hour lunch break. The calculator shows 7.5 hours worked (8.5 hours minus 1 hour break).

Night Shift

A night shift worker starts at 11:00 PM and finishes at 7:00 AM. The calculator correctly shows 8 hours worked, accounting for the overnight time period.

Weekly Timesheet

Using the Multiple Time Entries mode, you can enter each day's work times for a full week, with varying start/end times and breaks, and the calculator will total your weekly hours.

Freelance Project Tracking

A freelancer works on a project in multiple sessions: 10:00 AM to 12:30 PM, then 2:00 PM to 4:45 PM. The calculator shows a total of 5.25 hours worked, which can be directly applied to client billing.
